Manage users

Admins can manage users on the ‘Users’ page to track their status, invite new ones, and deactivate existing accounts.

💡 Only admins can access the Users page and manage the company's users. Therefore all the features explained in this article are accessible to admins only.

User table

Below is a detailed description of each attribute for a user

Attribute name

Attribute definition

Name

Full name of the user

Email

The email address associated with the user, which is used for logging in and receiving system notifications.

Role

User role:

Admin: Can do everything in the app, including managing the company and users.

Contributor: Can only see and edit the work that is assigned to them. Can not manage company settings.

Viewer: Can view all calculation-related information in the app: data entries, dashboard, and locations.

Status

State of the user's account:

Active: User can log in and use the app.

Inactive: User can not log in, does not receive notifications, and can not be assigned to data entries.

Pending: Invite is sent, user needs to accept it to get access to the app

Invite expired: The invite has expired. The user cannot register until an admin resends the invite.

Invite a new user

Step 1: Navigate to the 'Users' page.

Step 2: Enter the user’s email in the field at the top, then select their role from the drop-down menu. You can invite multiple users at once, and all of them will receive the same role.

Step 3: Click the “Invite” button to send all invitations.

Resend or revoke an invitation

Step 1: Navigate to the 'Users' page.

Step 2: Click the action button "⋮" next to the user's name whose status is either 'Pending' or 'Invite expired'.

Deactivate or reactivate a user

Step 1: Navigate to the 'Users' page.

Step 2: Click the action button "⋮" next to the user's name.

Step 3: In the menu that appears, choose 'Deactivate' to disable the user's access.

If you instead want to reactivate an inactive user, choose the 'Activate' option to re-enable the user's access.

Change a user role

Step 1: Navigate to the 'Users' page.

Step 2: Click the action button "⋮" next to the user's name.

Step 3: In the menu that appears, choose 'Change role' to change the role of the user. You can not change your own role.

Step 4: In the menu that appears, choose the role you want to assign to that user.
